Purchasing, Bookstore, and Mail Services Coordinator

Position Summary

The Bookstore Manager is responsible for overseeing purchasing operations, managing daily bookstore and snack bar functions, and administering campus mail services. This position plays a critical role in supporting Christ School’s academic, residential, and business operations and requires strong organizational skills, attention to detail, and effective communication with faculty, staff, students, parents, and vendors. Flexibility and a service-oriented mindset are essential in a dynamic boarding school environment.

Core Responsibilities

Purchasing & Vendor Management

•    Manage the School’s purchasing process for academic departments, faculty, staff, and institutional needs.
•    Coordinate with vendors to secure competitive pricing, favorable terms, and timely delivery.
•    Prepare purchase orders, track backorders, and ensure accurate processing of invoices in coordination with the Business Office.
•    Maintain detailed purchasing records and provide routine financial and activity reporting.
•    Support departments by identifying effective sourcing solutions and cost-saving opportunities.

Bookstore Operations

•    Oversee daily bookstore operations supporting the academic program and campus life.
•    Manage the ordering, sale, and inventory of textbooks, instructional materials, school merchandise, and other student-focused items.
•    Administer programs such as textbook buyback and support bookstore operations during special events and alumni activities.
•    Supervise bookstore staff and ensure high levels of customer service for students, parents, faculty, staff, and visitors.
•    Oversee point-of-sale functions, inventory control, deposits, reporting, and required tax submissions.

Snack Bar Operations

•    Manage inventory, purchasing, and vendor coordination for the campus snack bar.
•    Oversee point-of-sale systems, student charges, deposits, and reporting.
•    Ensure smooth daily operations in a high-traffic student environment and during special events.

Mail & Package Services

•    Coordinate campus mail and package services for students, faculty, and staff.
•    Manage shipping and receiving with common carriers and campus distribution systems.
•    Maintain accurate mailbox assignments, key inventory, and forwarding processes.
•    Support School business functions requiring shipping and overnight services.

Qualifications & Desired Experience

•    Experience in academic bookstore management, purchasing, retail, or related operational roles preferred.
•    Strong organizational skills with the ability to manage multiple priorities and deadlines.
•    High attention to detail and accuracy in financial and operational recordkeeping.
•    Strong interpersonal skills and the ability to work effectively with a broad constituency.
•    Proficiency with Microsoft Office tools; experience with POS systems and inventory management systems preferred.
•    Physical ability to manage a range of job demands, from administrative tasks to unpacking and moving inventory.
•    Willingness to be flexible and responsive to the needs of a boarding school environment.
